Color Coding Categories Helps Track Projects: Learn How To Color Code.

Did you know you could assign a color category to a calendar appointment, meeting, or event?

By color coding your calendar you can track all items related to a particular project or task by using color categories to easily identify and organize the items.

Color categories connect your calendar items for easy identification. The color categories connect you to other related items too, such as messages or contacts.

Categories only apply to items in your calendar. If you apply a color category to a meeting request or a meeting you’ve received from another person, that color category will only show in your calendar.

To assign a color category to an appointment, meeting, or event, follow these step:

From your Calendar folder, select View > View Settings.
Select Conditional Formatting.
In the Conditional Formatting dialog box, select Add to create a new rule.
Give your rule a name (project name or boss’ name) and use the Color drop-down to assign a color.
Click Condition.

You can select from a variety of fields and criteria. For example, to shade all tentative meetings purple, select Advanced.
Click Field > All Appointment Fields > Show Time As. Set the Condition to equals and the Value to Tentative. Then click Add to List.
You can define additional conditions or click OK three times to save your conditional formatting rule.

Notes:
1. You can change the color associated with a category at any time.
2. Another way to open the Categorize menu and Color Categories dialog box is by clicking Categorize on the toolbar.
3. Only the 15 most recently used color categories appear on the Categorize menu. To see the rest, click All Categories on the Categorize menu.
